1. Purpose of this notice

Din Bemannings Partner AS (DB Partner) uses digital tools and selected artificial intelligence (“AI”) features to support recruitment, staffing, administration, communication, payroll preparation, internal operations, document handling and customer service.

This notice explains how AI-assisted tools may be used in DB Partner’s work, what types of personal data may be involved, and what safeguards we apply.

AI is used to support our employees and improve quality, efficiency and consistency. AI does not replace human responsibility. Decisions that may significantly affect candidates, employees or workers are reviewed and made by people.

EU AI Act

DB Partner monitors and works to align relevant AI-assisted tools and internal AI governance practices with applicable requirements under the EU AI Act as they become applicable.

Our current use of AI-assisted tools is intended to support administration, recruitment, communication, document handling and internal operations. AI-assisted tools do not replace human responsibility and are not used to make final hiring, rejection, pay, disciplinary, legal or health decisions.

Where employee-facing or candidate-facing AI tools are introduced or expanded, DB Partner will review the system before launch, including transparency, human oversight, data protection, access control and escalation safeguards.

2. Where DB Partner may use AI-assisted tools

Recruitment and candidate handling

AI may assist with administrative recruitment tasks, such as:

  • searching and organizing candidate information;
  • summarizing CVs, applications or interview notes;
  • suggesting potential candidate matches based on role requirements;
  • supporting communication and interview preparation;
  • improving quality and consistency in recruitment workflows.

DB Partner may use recruitment systems such as RecMan and Recruitee, including AI features where these are enabled and approved.

Internal productivity and communication

DB Partner uses Microsoft 365, including tools such as Outlook, Teams, Word, Excel, SharePoint and OneDrive. Microsoft Copilot or similar Microsoft AI features may assist employees with drafting, summarizing, searching, translation, meeting notes and document work.

Internal operations and administration

DB Partner uses internal systems, including DB Partner Hub, to support administration, housing, fleet, payroll preparation, absence handling and operational workflows. DB Partner Hub is an internal tool used by authorized personnel only. It is not a candidate-facing system.

Some internal tools may include AI-assisted features for summarizing information, guiding users, checking data quality, identifying inconsistencies or preparing drafts. Human review is required before important actions are taken.

Payroll preparation and accounting support

AI or automation may assist with data quality checks, formatting, import preparation, anomaly detection, document drafting or internal guidance. Final payroll, accounting and employment-related decisions remain subject to human review and applicable control routines.

Customer, employee and worker support

DB Partner may use AI-assisted tools to help prepare answers, guidance, translations or explanations. Where AI is used, it is used as support and not as a substitute for professional human follow-up.

3. What personal data may be processed

Depending on the situation, AI-assisted tools may process or help DB Partner work with:

  • name and contact details;
  • CV, application, education and work experience;
  • interview notes and recruitment communication;
  • assignment, work history and availability information;
  • employee number, department, project and role information;
  • payroll-adjacent information such as timesheets or import files;
  • internal communication and documents in Microsoft 365;
  • absence or self-certification information where handled in internal workflows;
  • housing, vehicle or operational administration data where relevant.

DB Partner aims to limit the personal data used with AI tools to what is necessary for the relevant purpose.

4. Human oversight

DB Partner does not use AI to make fully automated final decisions about hiring, rejection, assignment allocation, pay, disciplinary matters, termination or other significant employment-related outcomes without human involvement.

AI-generated outputs must be reviewed by authorized DB Partner personnel before they are used for decisions that affect candidates, employees or workers.

5. Legal basis

The legal basis for processing personal data depends on the specific situation. It may include:

  • performance of a contract or steps before entering into a contract;
  • compliance with legal obligations;
  • legitimate interests in efficient recruitment, staffing, administration, security and quality control;
  • consent where required by law or where DB Partner chooses to rely on consent.

Where special categories of personal data are processed, DB Partner applies additional safeguards and only processes such data where a valid legal basis exists.

6. Approved suppliers and systems

DB Partner uses approved suppliers and systems for recruitment, staffing, administration, communication, hosting and AI-assisted work. These may include, depending on the context:

  • RecMan;
  • Recruitee;
  • Microsoft 365 and Microsoft Copilot;
  • Avonova;
  • Aporetic and DB Partner Hub;
  • OpenAI, Anthropic or other approved AI model providers used through controlled systems;
  • Accounting, payroll, hosting and infrastructure providers.

DB Partner maintains an internal Vendor and Data Processor Register and an AI System Inventory to document approved systems, data processing roles, AI use, security measures and supplier follow-up.

7. Data protection and security

DB Partner applies safeguards such as:

  • access control and role-based permissions;
  • human review of AI-assisted outputs;
  • approved supplier review and data processing agreements where required;
  • logging and audit trails where available;
  • data minimization;
  • internal instructions for responsible AI use;
  • restrictions on the use of sensitive personal data in AI tools;
  • review of higher-risk AI use cases before deployment.

8. Candidate and employee rights

You may have the right to request access to your personal data, correction, deletion, restriction, objection, data portability and information about how your data is processed.

You may also ask DB Partner for more information about the use of AI-assisted tools in a recruitment, staffing or employment-related process involving you.
